2009-01-2009 Library Trustee Meeting Agenda
The January 13, 2009 meeting of the Gray Public Library Trustees’ was called to order at 6:35 pm.  Present were Jody, Boe, Mark, Marie, Joyce, Glenn and Margaret.

The Director read her report.  Given was an accurate account of books borrowed and loaned (908 borrowed by gpl and 647 loaned by gpl).  Circulation was up 20% from December 2007.  New patrons totaling 3423 were added in 2008.  For more information, see Gray Public Library, Monthly Report, December 2008.

The minutes of the December 2008 meeting were approved.

Jody volunteered to act as treasurer to attend to the Reserve Fund of about $5,000.
Trustees will receive copies of the fund and a copy will be placed in the archives.

Glenn read his prepared presentation for the January 20, 2009 Town Council Meeting.
He is preparing for a 10-minute presentation.  Included with his presentation will be library card applications passed out to council member (by Mark) and the audience by other trustees. Boe suggested changing the word ”normality.”  Jody stressed a need to know MLA standards and when we fit them in.  (Already in list of goals).

Mark suggested the presentation include goals.  He also reminded Glenn he will be addressing the council and the town, that we trustees are working for the town.
He also pointed out questions may be asked of the trustees.

Copies of the 2009 budget were made available for trustees.  It currently stands at an approximate 1% increase.  Marie will review the budget in anticipation of suggested cuts.  She will be prepared to explain what the library will gain from an increase in Cassie’s time.  Marie stressed the need for library trustees to attend town council budget meetings and handed out a proposed schedule of such meetings.

Marie reported the rubber roof is complete.  The skylight windows were caulked for $400.  We are on a “wait and see” for this remedy.  Marie will suggest that previously allocated money for roof repair be carried over.

It was recommended that future agendas include “goals” to be worked on at future trustee meetings.

The trustees were asked to review a policy on confidentiality from the Fairfax, Virginia Public Library.

Jody suggested that trustees be trained to train potential library volunteers.  Boe suggested a template be found for taking meeting minutes.


The meeting was adjourned at 8:00 pm.
