Gray Public Library Trustees Meeting

Library Director's Report-Circulation up 17% over last year, patrons up 6% and twice as many inter library loans. Billing for inter library loans is changing and it'll be more expensive. Priscilla will ask the GPLA if some monies from the Annual Appeal can be used to cover the difference. Today alone, the staff processed 100 library inter library loans. Last October, the library staff collected data on their daily tasks and interactions with patrons. Priscilla will review this and go over it with staff members to confirm the numbers. March 24-library will be closed so staff can attend Nat?l Library Conference in Boston. May-there will be a Senior Luncheon. May 20th-a Maine Author will be speaking and doing a book signing. Location to be determined. Town Meeting-May 6th.
Secretary's Report-approved
Treasurer's Report-$580 from Annual Appeal used to purchase audio books.
Tabled Items-New Policy for fines going to Enterprise Acct.
Old Business-
Budget discussed at TC Workshop Meeting
ACCT 2825 $6,000 requested reduced to $4,000
ACCT 2810 4% increase requested cut to what we have this year
(Adult book prices remain the same, but children?s books are increasing)
Staffing Hours-requested 25 additional hours...at this point remains untouched
Priscilla is to write a special report on the Enterprise Acct, set up by previous councilors. Priscilla already wrote a report for Mitch, but the current TC wants a report, so Priscilla will write a detailed report for them. Renovation?TC to fund their portion of the renovation, possibly, with the sale of the old post office.
New Business-
No Meeting with Hancock St residents- Local Press & Town Office were not notified in time. Neighbors had their own meeting in the street and passed on that they don't have a problem with the parking as most work during the day?.they are happy to have the library as a neighbor.
Required posting of meetings-Need to post meetings. Peter will do up an agenda and give to Elizabeth Bullen at the Town Office. Peter will fill out a form to do so.
Architect's Report to GPLA/Town Council-Architect is putting together a cost estimate. TC wants info ahead of time so they can ask questions. April 4 date doesn?t work for the architect, so possibly look to April 10 TC meeting.
Structural Engineering Firm and Mechanical Engineering Firm have visited library, talked to Priscilla and talked with Paul White,
Gray's CEO to go over issues of codes?ie ceiling coeds for the basement. Hope to have rough figures for GPLA?s March meeting.
Whole building needs to have a sprinkler system. Report will be 1st of 3 phases.
April 29th-Spring Book Sale-preparations being done?Darcell is organizing it..Peter and Bo have been helping out.
