Minutes from the Library Trustees Meeting—December 14, 2010

Present: Glenn Walton, Boe Hamilton, Steve Arsenault, Joyce Burrows, Margaret Hathaway, Marie Morey, Mark Grover

Meeting called to order at 6:34

Minutes from November meeting submitted for approval. Approved by group.

Director’s report. Phase one of the library renovations is done! Marie amazed by how smoothly things went, and how many volunteer hours were put in. Re-launch was challenging because of technical difficulties (computers, photocopier) on busy day, but staff rallied. Marie received her budget, copies of which are distributed to board members. Roof is leaking; has leaked twice during the recent rains and winds. Marie has spoken with town maintenance and they’ll be coming to investigate and fix it. Cassie has been working on new library website, and has been running it by her “focus group.”

Service brochure. Approved several months ago; Margaret to send finalized version to all members of the group.

IRS efiling. We will continue to get paper forms from the IRS this coming year. We will be doing downloads of forms, if patrons pay for the printing.

Capital Improvement Plan. Marie has turned in CIP—upcoming budget requests new ceiling, to fix and renew siding on left side of entry way, and to paint exterior of building. Mark asks if there are technology improvements on the list? Boe suggests Marie to discuss with rest of staff. Marie to ask town manager if we can add to CIP for this year, especially regarding surveillance cameras.

Open house for young adults; Jody to discuss next month.

Reconfiguration. Phase one is complete. Due to a very generous donation, phase two (computer tables) is in the works—waiting for a price and then it will be ordered. With the new configuration, it’s easier to monitor computers.

Library’s “Visions for the Future.”  Marie has materials from Falmouth, where a consultant has been advising them on future plans. Boe suggests looking at upcoming census information, in conjunction with patron and new patron information, to plan for fifteen year. Group likes the idea of visiting the Mission Statement—Boe volunteers to head new Mission Statement committee.

Trustees tree. “The Giving Tree” theme. Joyce brought in two apples, Darcel has the tree. Trustees need to decorate.

Mark updates group on legal case concerning the building. Case has been withdrawn again because of a technical difficulty.
Mark reports that Town Council awarded the GPLA the “Volunteers of the Year”—ceremony will take place in January.

Council to visit library on January 8 at 10:30am for walk through. Trustees encouraged to come. Library is in first round of budget workshops, on February 7 at 7pm. Trustees encouraged to attend Town Council’s Capital Improvement Plan meeting.

Library reserve fund. Possibility of using it for children’s programming; trustees must approve use.

Looking at joint GPLA and trustees meeting in the coming year.

New business. Marie notes that we need a codified policy for the meeting room. Will discuss at January meeting.
