Meeting Notes
Thursday, March 6, 2008
NEXT MEETING DATE:  
Thursday, March 27, 2008 at 7:30 pm, at 17 Yarmouth Road

Town Meeting:
The committee is awaiting confirmation on the commencement time for Town Meeting

Child Care will be provided for children in kindergarten and above.

Dean will handle the logistics of child care for the meeting.  Roger doesn’t vote in Gray and can supervise youth volunteers and children’s activities.  

Via e-mail, Chief Plummer mentioned asking the Raymond Fire Dept. to furnish its fire prevention trailer and staff to participate with the children’s activities.  

Marie Morey of the Gray Public Library, via e-mail, agreed to provide activities and assistance in cooperation with the GPLA.  

Carl Holmquist suggested that Tracy Ross might provide an orienteering talk.

Suggested activities were fish painting, fire safety education, face painting, a home run derby, and Museum visits.

Children will need to arrive 15 to 30 minutes in advance of the meeting and be signed in by their parents.

Dean will coordinate with the various participants to create a schedule for the children’s activities.

A flyer is planned for the schools to publicize the events and encourage parents to reserve in advance in order to have a general head count.


Town Picnic:
The picnic will immediately follow the meeting.

The menu will be simple;
        Hot Dogs                Hamburgers
        Cole Slaw               Snack Chips
        Bottled Water   Gatorade
Donations of food, paper goods, bottled water, and snacks will be requested of;
        The Gray Market         Cole Farms
        Jess and Nicks          Family Dollar
        Hannaford

Dean suggested that we borrow a couple of gas grills, which are more manageable for cooking than the kettle grills that Gray Fire and Rescue uses.

Volunteer cooks are needed.

Youth volunteers will help with serving.

A letter requesting donations is being composed.  Various committee members will solicit the donations.

It was suggested that all the various town organizations be invited to display their promotional material.  Organizations might include Project Graduation, GNGBA, various booster clubs, Libby Hill Forest, Fiddlehead, etc.

Suggested activities during the picnic were, softball, volleyball, horseshoes and basketball.  Dean will make equipment available however, folks will need to bring softball mitts.

Live music was suggested, and Tracy Scheckel will seek volunteer musicians.

While the Rec department has a canopy and tables, it was requested by Dean that the southern wing of Pennell be made available in case of rain during children’s activities.

Three press releases are planned to showcase the day’s events and invite the various organizations to participate.
